Time Reporting, Absence & Balances
Time Reporting, Absence & Balances
The Time & Schedule module (accessible in the sidebar menu when the feature is enabled for your organization) provides a unified hub for time entry, leave requests, manager approvals, and balance overviews.
The module comprises five core screens:
- Time Report (Tidrapport): Employees record worked hours daily or weekly, including overtime, flex time, and project/department cost codes. Entries can be saved as drafts before submitting for approval. If the organization has a break-duration rule or a max-hours limit enabled (Settings → Time & Attendance), saving can either show a warning (the day still saves) or be rejected outright, depending on how the Admin configured the rules.
- Leave & Absence (Semester & Frånvaro): Employees submit requests for annual leave, parental leave, care of sick child (VAB), or sick leave. Requests display an instant balance projection after deduction and route to the manager for sign-off. Under “My requests,” an employee can cancel their own request while it is still pending (the “Cancel request” button, with a confirmation prompt before it’s sent). An already-approved or already-rejected request can’t be cancelled this way — contact your manager to change one of those. To change a still-pending request, cancel it and submit a new one.
- Approvals (Godkännanden): Managers and admins view incoming time sheets and leave requests for their reporting teams. Approvals can be processed individually or in bulk, with optional comments provided upon rejection.
- Roster & Schedule (Schema & Bemanning): Displays staffing schedules and coverage per department or team. Provides clear visibility into who is on duty, on leave, or off sick for any given week.
- Balances (Saldon): Displays current vacation balances (earned, used, and carried over), sick days, compensatory time, and a running overtime balance for the employee, as well as manager overviews for their respective teams.
Permissions: Employees view and report time strictly for themselves. Managers view and approve entries for their direct teams. Admins hold full access to configure settings, process all approvals, and run year-end rollovers.
Export to CSV. On the Leave & Absence page, an employee can click Export CSV to download their own time entries, leave requests, and balances as a CSV file (for payroll reconciliation or personal record-keeping). A manager sees the equivalent Export team CSV button on the Approvals page, downloading the same kind of data for the whole team they can already see — never more than that.
Overtime balance. When a manager approves a time report, each worked day is compared against the employee’s real expected hours (from their assigned work schedule) — hours beyond that count as overtime and are added to a running overtime balance. A day with fewer worked hours than expected never reduces the balance. Overtime is only calculated when a real, trustworthy schedule can be resolved for the employee; if none can, no overtime is accrued for that month at all, rather than a guess.
Public holidays are removed from the expected hours. A public holiday means 0 expected hours for that day, and a half-day halves them — including for an employee whose assigned work schedule says the day is an ordinary working day. Which calendar applies is decided by the employee’s own legal entity (country), including whatever additions and exceptions the administrator has configured for that entity — not always the Swedish one. This affects two visible numbers: “Reported %” (the denominator is lower in a month containing red days, so the same reported hours give a higher percentage), and overtime (hours actually worked on a public holiday now count as overtime in full, instead of being offset against an expected full day).
