Onboarding & offboarding

Onboarding & offboarding

The Onboarding & offboarding page in the Organization menu provides checklist-based workflows for new hires and for employees who are leaving. The feature is enabled per organization.

How it works:

  1. Templates (Admin only). Create a checklist template per workflow type — Onboarding (e.g. “Order laptop”, “Create accounts”, “Book intro meeting”) or Offboarding (e.g. “Return equipment”, “Close accounts”). Each item (“step”) has:

    • A due date relative to the anchor day: -3 means 3 days before the start/last day, 0 means on the day, 5 means 5 days after. Which phase the item falls into in the checklist — Onboarding: Before day one · First day · First week · Ongoing. Offboarding: At notice · Last week · Last day · After exit — is worked out automatically from this day count; you don’t pick the phase yourself.
    • A type: Task (tickable), Information (text to read), or Email (subject + body, e.g. a welcome email).
    • An assignee: Manager (the employee’s own manager, resolved automatically when the checklist is started), HR, IT, The employee themself, or a specific person (an email address). HR/IT have no dedicated role in the system today, so items assigned to HR or IT can be handled by any Admin.

To get going fast there are ready-made starter templates (“Standard onboarding”, “Standard offboarding”) — click one to pre-fill the editor, then adjust before you save.

  2. Start a checklist (Admin only). Pick a template, enter the employee’s email and an anchor date — the start day for onboarding or the last workday for offboarding. Each item’s concrete due date is computed automatically. The checklist is a snapshot of the template: editing or deleting the template afterwards never affects already-started checklists.

  3. Auto-start (optional, per template). On a template you can turn on “Auto-start for every employee”. The system then creates the checklist automatically ahead of each employee’s hire date (onboarding) or termination date (offboarding) — you choose how many days before (e.g. 7). No duplicate is created for the same employee and date, and it stays off on every template until you enable it. Manual start (step 2) still works alongside it.

  4. Tick things off. The owner of an item sees it under “My tasks” on the same page and can tick off (or undo) their own items. An Admin sees every checklist with a full progress overview per employee and can tick any item.

  5. Reminders. If your chat integration (Slack/Teams) is connected, the owner gets a reminder when an item becomes overdue (its due date has passed and it isn’t ticked off). The reminder carries only the item text, owner and due date — never salaries or survey answers.

Permissions: Admins see and manage everything. A custom role granted “Onboarding & offboarding” scoped to an org-tree area (e.g. a department-manager role) sees the FULL checklist — not just their own items — for every employee within their area or reporting line. Everyone else (including a plain employee) only sees checklists that contain items assigned to them — and only their own items; a new hire with items assigned to “The employee themself” can always reach their own checklist under “My tasks”, regardless of role. Deleting a template or a checklist asks for confirmation and cannot be undone.
