Leave periods

Leave periods

When the Leave periods feature is enabled for your organization (off by default), an administrator can schedule a leave period for an employee on the Salary tab of the employee’s detail page: a start date, an optional end date (leave empty for an ongoing/open-ended period), and an optional reason.

While a leave period is active, the employee’s BASE SALARY reads as 0 in the pay-gap analysis, so someone who currently isn’t being paid a salary doesn’t skew average/median figures. If the leave starts or ends partway through a calendar month, the amount is instead prorated for that portion of the month — whole months before the leave starts or after it ends are unaffected.

The leave period is a temporary overlay on top of the normal salary history — it never changes the underlying salary entries. Deleting the leave period immediately restores BASE SALARY to whatever the salary history actually specifies.

This is a different feature from Vacation & absence (the Schema module) — that handles vacation days, sick leave and similar with balances and an approval workflow, and does not affect BASE SALARY in the pay-gap analysis.

Every leave period has a type: Parental or carers’ leave, Sick leave, Study leave or Other. The type is picked from a list when the leave is added; the reason stays an optional free text. The type decides which leave periods count in the joint pay assessment’s part on pay improvement after parental or carers’ leave (EU directive article 10(2)(e)). Leave periods added before the type existed show a type suggested from their old free text (marked as suggested) until an administrator clicks Type all existing leave periods: the suggested type is then saved once for every such leave period in the organisation, and leave periods that already have a type are not changed. Leave periods can also be imported: the columns LEAVE START, LEAVE END and LEAVE CATEGORY (parental, sick, study or other) add one leave period per row; the same start date and type again updates the end date instead of creating a duplicate.
